When you open an expense report, you see a number of controls at the top of the screen. These controls have the following functions (you may not see all of them, depending on the context and your access rights):

Enables editing of an expense report that has not yet been submitted. |

Displays the corresponding trip if the expense report has been created from a trip. |
|
Adds a comment to an expense report. Use this also to view comments from approvers or accountants (for example, reasons for rejecting a claim). |

Creates a printable version of the expense report, enabling you to select one of several possible destinations, such as a printer, PDF or cloud storage. |
|
Creates a PDF copy of the expense report. |
|
Displays the report history, including dates and users relating to when the report was created, submitted, recalled (if applicable), approved, reimbursed and sent for payment. See Seeing Who Approved or Rejected Your Expense Report. |
|
Exports the expense report to a CSV file. |
|
Deletes a report (only shown if the report has not been submitted). |
|
Displays the previous report in the current category (Pending completion, Submitted or Reimbursed). |
|
Displays the list of reports in the current category. |
|
Displays the next report in the current category. |
An individual expense item may include the following labels and icons:
Label / Icon | Meaning |

Indicates a reimbursed expense amount that has also been refunded by the supplier - see Reporting a Refund. |
|
Indicates an expense incurred during a weekend - this can alert an approver to a possible non-business expense. |
|
Paper clip icons of various colours refer to receipt attachment - see Attaching a Receipt. |
|
Enables you to add a comment about this expense item to provide an additional explanation for the approver. A number inside the icon indicates the number of comments. Click the icon to add or view a comment. |

Scissors icons of various colours refer to expense itemisation - see Splitting an Expense Item. |
|
Enables you to edit an expense item in a report that has not yet been submitted. |
|
Enables you to see who has changed details of this expense item - see Viewing the Audit Trail for an Expense Item. |
