Traveller information

Details about the traveller (may be mandatory depending on configuration): title (if not specified in user profile), email, business phone (at least 6 characters), mobile phone, date of birth.

Approvers

Lists the people who will be approving this request.

Seating preferences

For some airlines and train companies you can enter your seating preference. See Selecting a Seat.

Loyalty programmes

Shows details of relevant loyalty programmes of which you are a member, and enables you to add details of any other relevant schemes not already in your profile. See Adding a Loyalty Card.

Travel Pass

If you have selected a discount travel card to use for this booking, the card number is shown here. Note that valid travel pass details must be present in your user profile for the booking to be successful. See Adding Travel Pass Details.

Ticketing and delivery
information

Indicates your options for ticketing. See Entering Ticketing and Delivery Information. For low-cost airlines, your flight is likely to be ticketless, meaning that your booking is confirmed in an email that you may have to show at check-in.

Additional services

For carriers that charge for additional services (e.g. number of bags, speedy boarding etc.), the details are shown here. See Requesting Additional Services.

Payment and guarantee
information

Details of how the service (and where relevant, the reservation guarantee) will be paid for. In cases where the supplier requires full payment at the time of reservation, you may have a "validate" option to check the actual price of the service. This is because the final price may vary from the one quoted in the search, owing to factors such as exchange rate fluctuations.

Conditional Custom Fields

(if shown) Customer-specific fields, which are displayed if certain values are selected during the trip search process.

Additional information

Additional details such as your company’s billing address (see Entering Billing Address Details) and cost centre.

Total cost of my flight

If seat selection or additional services incur an extra cost, this section shows details of the services you have chosen, together with the cost of each one. Click Validate flight ticket price to see the new fare total.

Trip Data Sharing

Check the I accept to share…​ box if you’d like your trip details to be displayed to others from your company who may be booking a similar trip (see "Can I see if someone else is taking a similar trip?" in Planning FAQs). They might, for example, be able to share a taxi or hire car at your destination, or book into the same hotel.

Notifications

You may see this option to send a message to your approver to explain anything about the request.
For some hotels, you may also see a field where you can send a specific request directly to the hotel (for example to request a particular floor, late check-in etc.).

APIS Information

Flights to or from some countries require you to supply advance passenger information before you travel. See Entering Advance Passenger Information (APIS).

My Selection

Returns you to the My Selection tab. Use this only if you do not want to proceed with the booking, as details entered on the Reserve screen may not be saved.

Complete this reservation

Finalises the booking details and begins the approval process.
